How AI helps with document control
AI helps document controllers most with the routine text work around project information: document registers, transmittals, naming checks, procedures and summaries of what has changed. The workflow on this page drafts a BIM Execution Plan summary aligned with ISO 19650, covering objectives, roles, standards, coordination procedures and information exchanges.
AI is good at turning an exported register into a clear list of what's current, superseded or missing, checking file names against your naming convention and drafting the procedures everyone is meant to follow. It can't see inside your common data environment unless you give it the data, it can misread drawings, and it doesn't decide which revision is the contractual one.
Start with one task, such as checking a register export against your naming convention. Use a business AI account with data controls, never a personal one, because project documents are confidential. Then check its output against the CDE, which stays the single source of truth.

- Document registers: AI tidies an exported register, groups it by discipline and status, and flags duplicates, gaps and missing revisions.
- Naming checks: it checks a list of file names against your ISO 19650 naming convention and lists the ones that don't comply.
- Transmittals: it drafts transmittal cover notes and issue summaries from a list of documents and their purpose.
- Procedures: it drafts document management procedures, BIM Execution Plan sections and CDE guidance in plain English.
- Change summaries: it turns revision notes and change descriptions into a short note for site on what has changed.
- Handover information: it builds checklists for the CDM 2015 health and safety file, the O&M manuals and, on higher-risk buildings, the golden thread of information under the Building Safety Act.
Where to be careful
- Single source of truth. The CDE and the register decide what's current. Never issue or build from a document because AI said it was the latest revision.
- Drawings. General AI tools are poor at spotting changes between drawing revisions. Use your CDE's compare tools and the revision clouds, and check by eye.
- Contractual status. Which documents form the contract, and what a late or changed issue means for time and cost, are contract questions. Check your contract and take advice.
- Sensitive information. Project documents should only go into an approved business account, and some projects have security requirements under ISO 19650-5 that may restrict it. Check the client's requirements first.
Frequently asked questions
- Can AI check file names against ISO 19650?
- Yes, this is a good use. Give it your project's naming convention and a list of file names, and ask it to list every name that doesn't fit and why. Spot check the results, because it can still miss one in a long list.
- Can AI compare drawing revisions?
- Not reliably with a general chat tool. It's better at summarising revision notes and change descriptions than at spotting a moved line on a drawing. Use the compare or overlay tools in your CDE or drawing software for that.
- Is it safe to put project documents into ChatGPT?
- Only in a business or enterprise account your company has approved, where data isn't used for training and access is controlled. Check the client's information requirements first, as some projects restrict where information can be stored. Never use a personal account for project documents.
- Will AI replace document controllers?
- It will change the job more than replace it. AI can help with much of the checking and tidying, but someone still has to own the register, enforce the process and make sure the right information reaches the right people. On higher-risk buildings, the golden thread makes that role more important, not less.
