How AI helps Estimators

What AI does well is organise. It turns your take-off and rates into a tidy schedule, lists the assumptions and qualifications, spots gaps in a scope and drafts the questions you need to send out. It can't measure reliably from drawings, know current market rates in your area or decide how keenly to price. Those calls are yours.
Start with one job you do on every tender, such as the subcontract scope of works. Use a business AI account with data controls, never a personal one, because tender documents and pricing are confidential. Check every quantity and rate against your own build-up.

- Bid pricing schedules: AI structures the itemised price with assumptions, qualifications and exclusions set out clearly for submission.
- Subcontract scopes of works: it drafts inclusions, exclusions, attendances and interfaces for each package, so every subbie prices the same thing.
- Quote checking: it compares quotes against your scope and pulls out the exclusions and qualifications buried in the small print.
- Bid/no-bid decisions: it scores an opportunity against agreed factors such as risk, fit, workload and client, so the decision is consistent and on record.
- Material procurement schedules: it sets out lead times, order dates and delivery milestones for key materials from your programme.
- Tender queries: it reads the tender documents and drafts clarification questions on gaps, conflicts and missing information.
Where to be careful
- Quantities. General chat tools can't take off reliably from drawings. Use your measurement software and treat any AI quantity as a rough check at best.
- Rates and market prices. AI has no live view of your local market. Use your own rates, current quotes and price data, not figures the tool suggests.
- Tender terms. Qualifications, design responsibility and contract amendments can carry real risk. Check your contract and take advice on anything you're unsure of.
- Confidential tender information. Client documents and your pricing should only go into a business account your company has approved. Some tenders carry their own confidentiality terms, so check those too.

- Will AI replace estimators?
- Unlikely. AI is taking over much of the drafting, formatting and first-pass checking in a tender. Understanding the risk, reading the market and deciding the price still need an estimator who knows how the job will actually be built.
- Can AI do a quantity take-off from drawings?
- Not reliably with a general chat tool. Some take-off software now uses AI to count items and pick out areas, but you still need to check what it measured. The quantities in your tender are your responsibility.
- What is the best AI tool for estimators?
- There isn't one best tool. Look for a business plan with data controls, good handling of PDFs and spreadsheets, and a way to save your own prompts and templates. For measurement, see what your take-off software already offers before adding anything new.
- Can ChatGPT check subcontractor quotes for exclusions?
- Yes, and it's one of the most useful jobs for it. In a business account, give it your scope and the quotes and ask it to list every exclusion, qualification and assumption side by side. Then read the quotes yourself, because it can still miss something in a long document.
